Q: How do I get access to an Ohio State REDCap instance?

1) All Users: To request a new REDCap account, please have the local project administrator complete this form on the behalf of the new user: https://go.osu.edu/newredcapuser.

 

2) External Collaborators / Non-OSUMC Employees: Access to certain REDCap instances (e.g. Scarlet, MyCap) require an Ohio State University Medical Center (OSUMC) guest account. If your user does not have an OSUMC account, have them complete this form: https://go.osu.edu/osuwmcguestaccountrequest.

Completion of this form provides our team with the information needed to submit the request for a guest account on your behalf.

  • This form should only be used to request OSUMC access for REDCap, not other medical center programs.
  • For users requesting access to HEAL, please select the "OSU ID Only (non-OSUMC and non-FAST) (ex: HEAL)" option.
  • Local Project Administrators: Even if you routinely request guest accounts for other purposes, for guest account access to REDCap, we ask that your users complete this form and allow our team to do the guest account request on their behalf.



Q: I have lost access to REDCap. What should I do?

1) Suspension Due to Inactivity: By default, REDCap user accounts expire if they have no activity within the past 365 days. This helps keep our user base current by removing access automatically for users who are no longer actively using REDCap at Ohio State. If you received an email stating your account was suspended due to inactivity and you need to reactivate your account, send an email to ccts-informatics@osumc.edu.

 

2) OSUMC Guest Account Expiration OSUMC Guest Accounts expire within 364 days of the date of creation. You will receive an email stating your OSUMC guest account is about to expire; it is imperative that you respond to that email. Without a response your guest account will expire and your access to REDCap will be affect until your guest account can be restarted. The amount of time it takes to restart a guest account will be quite significant.

  • Note: This applies to those guest accounts our team sponsors. If your guest account is sponsored by someone outside of the REDCap team you may or may not be contacted regarding account expiration.
